Meeting Etiquettes
• Be punctual for the meeting. Never be late. Even if you turn up late, step in quickly and quietly while taking your seat. The less interruption you create the better.
• If attending a business meeting, be sure to reply if the reply is being expected from you.
• Never expect others to fill you in during or after the business meeting.
• Come prepared with pen and paper.
• If you need to hold the presentation, be sure to organize your presentation materials beforehand only.
• Never interrupt the speaker until he/she has encouraged open discussion.
• Don’t interrupt other attendees either.
• Don’t talk with other colleagues during the meeting. This is disruptive to other attendees and inconsiderate of the speaker.
• Keep your cell phones or other electronic gadgets in silent mode or switch them off.
• Raise your hand before asking a question. Don’t start all of a sudden.
• Don’t ask too long questions. Break them into several questions and make sure to ask one question at a time.
• Listen to the speaker attentively. Don’t repeat the questions which have already been answered.
• Stay calm during the meeting. Don’t tap your pen or play with your fingers. No matter how heated the meeting is, you should always remain calm.
• Attend the entire meeting. Unless it is absolutely necessary or you have the prior permission, you should never leave the meeting in the middle.
• Dress professionally for the meeting.
• In discussions, allow your seniors to speak first.
• Be brief when speaking and make sure what you speak is relevant.
• Don’t divulge information about the meetings to others. Whatever has been discussed within the meeting should be kept confidential.
• While conducting a meeting, stick to the time limit set for the meeting.
• Create an agenda for the meeting and distribute it to all the participants beforehand. Stick to what only what is in the agenda.
• If the meeting goes off the topic, remind the attendees of the agenda at hand and ask them to discuss the topics latter.
• Conduct yourself professionally. Demonstrate your knowledge and understanding.
• If the meeting is likely to discuss some problems, make sure you have some solutions to offer.
• If someone cannot attend the meeting, provide them with all the details as to what has been discussed.
• Be poised and polite during the meeting.
• Maintain eye-contact most of the time with the speaker.
• Once the meeting is over, follow up with all the participants.
